Returns operations that mostly run themselves
Sending things out is the easy half. Getting them back is where rental and returns heavy businesses quietly lose money.
Include the return before it is needed
Put the return label, or a code that produces one, in the box at dispatch. A return that requires the customer to request something is a return that happens late or not at all.
A code they present at a drop off point is better than a printed label, because it does not assume a printer and it cannot be lost separately from the parcel.
Detect the scan, do not wait for arrival
The moment a return is scanned into the carrier network is the moment your risk drops. That is days before it reaches you, and it is the event worth building on.
Poll tracking for outstanding returns and record the scan against the order. Everything downstream keys off that: stop chasing, start expecting, release the refund.
Tie refunds to the scan
If your terms include a refund on return, pay it when the scan happens rather than when the parcel lands. It is a real event, it is verifiable, and it is early enough that the customer feels well treated.
Say so explicitly in your terms, in those words. "Refunded once your return is scanned" sets an expectation you can meet. A promise with no condition attached will be read as immediate, and you will be arguing about it.
Chase on a schedule, and stop when it arrives
A daily sweep over anything due back. Reminder before the due date, a firmer one after, then escalation. The critical part is that a recorded scan removes an item from the chase immediately.
Nothing damages goodwill faster than chasing someone for an item they posted three days ago. If your reminder and your scan detection do not share state, that will happen, and the customer will tell you about it.
Make non return expensive but predictable
Hold a payment method with the customer's agreement and state the charge for non return up front. Then apply it consistently after a defined period. Predictable and firm beats discretionary and apologetic.
Instrument the loop
Track the distribution of days from due date to scan. It tells you whether your reminder timing is right, which of your terms are actually understood, and whether a change you made helped. Without it you are guessing, and the guesses tend to be optimistic.
